This is an exciting opportunity to join the League of Friends of Teddington Memorial Hospital at a pivotal moment, as the charity refreshes its strategy in response to the evolving NHS landscape and expands its role as a community health partner.
This newly combined role brings together operations, administration and governance support.
You will play a key role in keeping the charity running smoothly, supporting trustees, assisting with membership & fundraising activity, strengthening coordination, and ensuring operational processes are clear, consistent and well-managed.
This role is ideal for someone who is confident using modern digital tools and systems, and enjoys bringing structure, clarity and efficiency to ways of working. As the charity evolves, there is a strong opportunity to introduce smarter, simpler and more joined-up ways of working using technology.
This is a unique hybrid role ideal for someone who enjoys combining organisation and coordination and wants to contribute to a meaningful local cause.
Purpose of the Role
To provide proactive and structured:Operational and administrative support to the Board
Coordination across activity, funding and partnershipsEnabling the charity to operate efficiently and deliver on its strategy as activity and complexity increase.
Key Responsibilities
- Board & Governance Support
Prepare and distribute board agendas, papers and updates
Take clear and structured meeting minutes and track actionsMaintain governance records and documentation
Support compliance processes alongside the Company Secretary- Operational Coordination
Maintain a central log of projects, initiatives and commitments
Coordinate follow-ups on actions across trustees and stakeholdersIn partnership with the Marketing team support delivery of fund-raising programmes, partnerships engagements and local membership initiatives as and when required.
- Data & Reporting Support
Maintain simple digital tracking of funding, activity and outcomes
Support preparation of board reporting and summarisesUse spreadsheets or lightweight tools to improve visibility of activity and commitments
Support the development of simple dashboards or reporting views where relevantHelp introduce efficient, user-friendly systems to improve how the charity operates
- Communication & Organisation
Manage core email inbox and digital communications
Ensure information is shared clearly and on timeCoordinate meetings using digital tools (e.g. Teams/Zoom, shared calendars)
Ensure Teams is set up for the monthly Board meeting in the Hospital Board roomMaintain well-organised, accessible digital records and documentation
Support trustees in using shared tools for collaboration and information flowHelp ensure information is clear, accessible and easy to use across digital platforms
- External Coordination (Light Touch)
Act as a first point of contact for enquiries
Support coordination with local partners (e.g. NHS, community groups)Help organise events, engagement activity or meetings
Support more coordinated working across trustees
